Introduction
A growing organization approached Matrix3D with what appeared to be a straightforward requirement: they wanted to increase mailbox storage for some Microsoft 365 users and were looking for a more cost-effective option than upgrading additional users to Microsoft 365 E3.
One mailbox had already reached its limit, and an E3 license had been assigned. More upgrades were being considered.
What started as a licensing discussion soon became a lesson in the importance of expert guidance, staying current with Microsoft's evolving platform, and making informed technology decisions.
The Client
A Delhi-based organisation using Microsoft 365 Business Premium for email, collaboration, and day-to-day business operations. The organisation needed additional mailbox capacity and clear guidance on how the updated Microsoft 365 storage entitlement applied to its existing setup.
The Challenge
During our first meeting, the customer explained that they were experiencing mailbox capacity issues and believed Microsoft 365 Business Premium users were limited to 50GB mailboxes.
The assumption was simple:
- Mailboxes were reaching capacity.
- Higher mailbox limits required an upgrade.
- Additional E3 licenses would likely be needed.
Rather than immediately discussing pricing, Matrix3D focused on understanding the customer's environment and the reason behind the requirement.
As the conversation progressed, we discovered that the customer's primary objective was not to purchase additional features. They simply wanted to increase mailbox capacity in the most practical and cost-effective way possible.
The Matrix3D solution
During the discussion, Matrix3D identified that Microsoft had recently announced increased mailbox storage entitlements for eligible Microsoft 365 Business plans.
We asked a simple question:
"If the available entitlement has changed, have all available options been evaluated before purchasing additional licenses?"
The customer was unaware of the update and immediately wanted to verify the information. At that point, Microsoft documentation and official announcements were reviewed and discussed. While there were differing interpretations regarding how the change would be applied, Matrix3D remained confident in the information and continued to guide the customer based on Microsoft's published guidance.
For the customer, this became less about mailbox storage and more about whom they could trust for Microsoft advice.
More Than a Licensing Conversation
The easiest path would have been to quote additional licenses and conclude the meeting. Instead, Matrix3D focused on ensuring the customer fully understood the options available to them before making further licensing decisions.
This approach demonstrated something the customer valued highly:
A willingness to provide independent advice based on business requirements rather than simply recommending additional products.
Our goal was not to sell more licenses. Our goal was to help the customer make the right decision.
The Impact
Improved understanding of Microsoft 365 licensing entitlements
Better alignment between business requirements and licensing decisions
Greater confidence in future Microsoft 365 investments

Access to proactive Microsoft 365 guidance and expertise
Transition to a long-term Microsoft 365 Managed Services partnership
Customer Perspective
"We approached Matrix3D expecting a licensing discussion. Instead, we gained a deeper understanding of the options available to us and what was actually required to meet our business needs. Their willingness to challenge assumptions and provide clear guidance gave us the confidence to move forward with them as our Microsoft 365 partner."
Conclusion
Many partners can provide a quote.
The real value comes from helping customers make informed decisions.
What began as a conversation about mailbox storage became the foundation of a long-term partnership because Matrix3D demonstrated expertise, transparency, and a commitment to putting the customer's interests first.
At Matrix3D, we believe the best technology partnerships are built on trust, not transactions.
